1. Who provides the service
Clinical Assistant at clinicalassistant.ca is operated by Jason Ansell in Ontario, Canada. “We”, “us” and “our” refer to the operator. Contact us through the support centre, including without an account. These terms apply when you accept them to use your workspace. Save or print a copy for your records.
2. Accounts and intended use
You must be at least 18 and able to enter this agreement. Provide accurate account information, protect your sign-in credentials and use your own account. You are responsible for activity you authorize. Report suspected account misuse through Support. The service is a personal workspace for general administrative operations. It is not a medical-record system, clinical decision tool, emergency service or substitute for your employer’s approved systems. It is independently operated and is not endorsed by your employer.
3. Information you may use
Only enter information you have authority to process through this service. Do not upload patient or resident-identifiable information, confidential incident or complaint details, medical records, passwords, payment-card information or other highly sensitive records. Removing names alone may not remove identifying details. Obtain workplace authorization and all necessary permissions before using work material or recording others. Do not use the service if an organizational policy prohibits external cloud processing.
4. Your content and our permission to process it
You retain your rights in the content you provide. You give us the limited permission needed to host, store, process, transmit and display that content to provide the features you request, handle support, maintain security and meet legal obligations. This includes using our service providers. This does not transfer ownership of your content. You are responsible for permissions relating to other people’s material and personal information. Export important work and keep your own copies.
5. AI and recording
AI formatting, transcription and minutes are drafts. They can omit, misinterpret or invent information. Check names, dates, decisions, amounts and action items before using or sharing any output. You decide whether a draft is suitable. Personal review or approval in the app is not organizational, clinical or legal approval. Audio and submitted text are sent for cloud processing when you request an AI feature; microphone recording requires browser permission. Obtain the necessary consent from participants before recording or uploading their voices.
6. Plans, renewals and credits
Free includes the core workspace tools. Pro is CAD $19 monthly or $190 annually with 100 AI credits per calendar month. Plus is CAD $39 monthly or $390 annually with 300 AI credits per calendar month. Paid subscriptions renew automatically at the selected interval until canceled. The total due and any applicable tax are shown in Stripe before you pay. We currently do not add GST/HST. Any change to future prices or material subscription terms will be communicated before it applies; you may cancel before renewal.
7. How credits and cancellation work
Document formatting and minutes generation each use 1 credit per request; audio transcription uses 10 credits per file up to 25 MB. Credits reset on the first day of each month in UTC, including annual plans. They do not roll over, and there are no automatic overage charges. A plan upgrade does not erase usage already recorded that month. Manage billing, invoices, plan changes and cancellation through Plans & billing. Stripe shows any immediate charge or proration before you confirm a plan change. Cancellation normally stops the next renewal and preserves access until the end of the paid period. Saved work remains available in the free workspace.
8. Refunds and complimentary access
For an incorrect charge, billing problem or refund request, contact Support with the payment date and account email; do not include card details. We review requests individually. Nothing in these terms limits cancellation, refund or other rights that applicable law gives you. Complimentary lifetime Plus grants, when expressly provided, require no recurring payment and have no scheduled expiry. They include the Plus monthly credit allowance, apply to the verified account granted access, and do not confer administrator rights or ownership of the service. “Lifetime” means for the operating life of this service; it does not promise that the service will operate forever.
9. Acceptable use
Do not access other users’ information, share an account to evade plan limits, interfere with security, probe systems without permission, upload malware, infringe others’ rights, impersonate people, or use the service unlawfully. We may restrict access where reasonably needed to address abuse, security threats or legal obligations. Where feasible, we will explain the issue and allow a response. You may ask for account closure through Support.
10. Availability and responsibility
We work to provide a useful service, but do not guarantee uninterrupted access, error-free output or recovery of deleted work. Features may change. We are responsible for our obligations under applicable law; you remain responsible for decisions made using your work and for keeping appropriate copies. To the extent permitted by law, we are not responsible for indirect or consequential losses arising from use of the service. This does not exclude liability or remedies that cannot legally be excluded, including applicable consumer rights.
11. Changes, disputes and contact
Material changes will be identified with an updated version and, where appropriate, a new acceptance request or advance notice. These terms are governed by Ontario and applicable Canadian law, subject to mandatory protections in your place of residence. There is no mandatory arbitration or waiver of non-waivable consumer rights in these terms. Contact the operator through Support to discuss a concern before pursuing a dispute. The Privacy policy explains data handling and the Cookie policy explains browser storage.
